Vin + Vine 2027 Cancellation Policy

1. Payment Terms, Installments & Default

  • Non-Refundable Deposit: A $200 deposit per person is required at booking to secure your reservation. Deposits are strictly non-refundable and non-transferable except as explicitly stated herein.

  • Automated Monthly Installments: Remaining balances are paid via automated monthly installments on the card provided at checkout.

  • Payment Default: If a monthly installment fails or is declined, the guest will have 7 calendar days to update payment details in Momence. If payment is not resolved within 7 days, the reservation is subject to cancellation, forfeiture of all funds paid to date, and release of the room to the waitlist.

  • Final Balance Cutoff: Final payment for all guests must be received no later than February 2, 2027 (45 days prior to arrival). Bookings made after February 2, 2027, must be paid in full at registration.

2. Guest Cancellations & Spot Transfers

All cancellation requests must be submitted in writing. Because room blocks and activity costs are committed well in advance, the following schedule applies:

  • Cancellations 90+ Days Prior (On or before Dec 19, 2026): Installments paid to date will be refunded, less the $200 non-refundable deposit and a $75 administrative fee.

  • Cancellations 45 to 89 Days Prior (Dec 20, 2026 – Feb 2, 2027): 50% of total installments paid to date will be refunded, less a $75 administrative fee (the initial $200 deposit remains non-refundable), OR 100% of payments made can be transferred as credit toward a future retreat held within 2 years.

  • Cancellations Under 45 Days (After Feb 2, 2027): All payments are 100% non-refundable and non-transferable.

  • Transferring Your Spot: You may transfer your booking to another person (found by you or selected from our waitlist, if available) up until 14 days prior to departure, provided the replacement guest pays in full. A $75 administrative transfer fee applies.

3. Organizer Cancellation & Force Majeure

  • Minimum Attendance: Organizers reserve the right to cancel the retreat on or before December 19, 2026, if the minimum threshold of 6 guests is not met. In this event, guests will receive a 100% full refund of all money paid (including deposit) or a 100% credit toward a future retreat plus an additional $100 credit.

  • Force Majeure / Unforeseen Events: If the retreat is canceled or rescheduled due to acts of God, extreme weather, travel bans, or safety concerns beyond the organizers' control, host liability is limited to issuing a 100% credit transfer toward rescheduled dates or future retreats within 2 years. Cash refunds for Force Majeure will only be issued to the extent that funds are recovered from third-party resort and transportation vendors.

  • Limitation of Liability: Organizers are not responsible for indirect or incidental costs incurred by attendees, including non-refundable airline tickets, transit costs, or equipment purchases.

4. Travel Insurance (Strongly Recommended)

To protect your investment against medical emergencies, illness, travel delays, or personal conflicts, guests are strongly advised to purchase individual travel insurance. We recommend purchasing a policy with "Cancel For Any Reason" (CFAR) coverage within 10–14 days of paying your deposit.

5. Health Waiver, Conduct & Media Release

  • Assumption of Risk: By registering, guests acknowledge that yoga, movement, and group activities carry inherent risks, and that wine consumption is entirely voluntary. Guests assume full responsibility for their health, safety, and physical limits.

  • Code of Conduct: Organizers reserve the right to remove any guest from the retreat without refund if their behavior is illegal, unsafe, or disruptive to the safety and well-being of the group.

  • Media Release: Unless requested otherwise in writing prior to arrival, guests grant organizers permission to use photos and video footage taken during the retreat for promotional and marketing purposes.
